Libraries are at the forefront of creating rich quality metadata to ensure communities can access, learn, and understand their shared histories. The Metadata and Monographic Resources Team (MMRT) is tasked with describing and providing access points to Clemson Libraries’ Digital Collections. Metadata decisions made by MMRT affect how community members discover, access, and use these materials. Photographic images, in particular, pose challenges if they lack descriptive information or historical context. If descriptions are provided, they often align with the historically white male majority, naming high level individuals and leaving out minority and marginalized peoples.

Archivists and archival collections can often be siloed into the “special” corner of their parent library: under described, underutilized, and often even unknown. Finding a path out of isolation may require taking a new look at collection management needs and considering new partners in the work. Collaboration with colleagues can result in positive ripple effects that extend beyond the initial project goals. Toward Inclusive Description: Reparations Through Community-Driven Metadata, Jillian M. Ewalt

This case study covers the process and policies involved in creating accurate and inclusive metadata for a historically marginalized community. The Japanese American Digitization Project was a consortial, collaborative digitization project with the goal of unifying and providing online access to tens of thousands of archival materials documenting the Japanese American experience. Traditionally, the Japanese American experience, particularly the internment during World War II, has been laden with euphemistic language. This article outlines community-driven metadata development, implementing an inclusive controlled vocabulary, and thinking about archival metadata as a process that can contribute to reparations.

In this talk I cover the rise of open scholarly metadata thanks to efforts to create open infrastructure by non profits such as Crossref, Datacite, ROR as well as efforts from organizations such as JISC CORE, Opencitations, I4OC (Initative for open citations) to harvest and extract scholarly data. I talk about how libraries have benefited from all this data (most of which is available via APIs) and how Lens.org has brought most of this data together to create a compelling open service.

Creating A Sustainable Workflow For Converting Online Finding Aids Into Marc Records, Ann Kardos

Data regarding library collections exists in many locations. While this often works for those researchers who know what they're looking for, one institution created a plan to convert online finding aids into MARC records for the discovery layer. The project makes additional avenues to discover unique collections but also gives opportunities to create Library of Congress name authority records for distinct entities or hidden individuals and groups. This project became a model for standardization of this work across the consortium, and brought together stakeholders from metadata, special collections, archives, digital collections and library IT.

In the 1960s, a Louisville photography studio began donating its negatives, prints, and invoices to the University of Louisville Photographic Archives. The Caufield & Shook Collection remains a significant primary source for local history and a prime candidate for digitization. Unfortunately, on its receipt non-archivists processed the collection with little documentation of original order or organizational decision making. Additionally, workflow choices were determined largely by the desire to maximize student labor. This article presents the results of a survey designed to benchmark the use of vendors to support authority control activities in Association of Research Libraries member libraries. Such activities include updating authority or bibliographic records, sourcing authority records, participation in cooperative cataloging efforts, and more. The survey investigated whether and how responding libraries used vendors to create and maintain an authority file and process current cataloging records. The survey gathered demographic and other information about the libraries, and the authors sought to identify trends and correlations between these and other factors.

In 2015, ASC began planning for preserving and providing access to Omaha’s LGBTQ+ history through the Queer Omaha Archives. Archival silences were defined by archivist Rodney Carter as the manifestation of the actions of the powerful in denying the marginalized access to archives with further definition by archivists and researchers expanding this definition. Fortunately, Ex Libris provides API access that allows you to add specialized functionality to your Alma workflows, or even access Alma's data through other web sites. When faced with the prospect of manually uploading thousands of collection objects into our digital repository, I knew I needed to create a workflow to automate batch uploading processes. This resulted in a workflow that allows me to take a metadata spreadsheet containing thousands of rows and transform it into a series of MODS XML files contained in one master file, using OpenRefine's templating tool. The csplit command can be used to split the master file up into thousands of fully-formed MODS XML files. Using a Perl script, the files can be batch renamed to match their corresponding digital object …

This paper describes the findings from a participatory prototype design project, where the authors worked with maternal and child health (MCH) researchers and stakeholders to develop a MCH metadata profile and sustainable curation workflow. This work led to the development of three prototypes: 1) a study catalogue hosted in Dataverse, 2) a metadata and research records repository hosted in REDCap and 3) a metadata harvesting tool/dashboard hosted within the Shiny RStudio environment. We present a brief overview of the methods used to develop the metadata profile, curation workflow and prototypes. Making a connection between digital repositories and library catalogues is an issue many libraries and archives face, especially when dealing with items that traditionally received full cataloguing records. This paper explores different workflows for reusing metadata to create catalogue records, connecting the two resources together. In order to have one interface to search both the older physical items and newer digital items, the archives and technical services department of the University of Arkansas Libraries worked together to create different workflows to save time and eliminate the need for double entry, using the open source software MarcEdit and XML Notepad. The goal of the SHARE initiative, a partnership between the Association of Research Libraries (ARL) and the Center for Open Science (COS), is to build a “free, open, data set about research and scholarly activities across their life cycle.” As of October 12, 2016, 129 repositories and publishers have made metadata available to SHARE for harvesting, and the aggregated data set is available for searching. Many metadata providers are institutional repositories utilizing the bepress Digital Commons platform whose metadata is harvested through the OAI-PMH (Open Archives Initiative Protocol for Metadata Harvesting) protocol for repository interoperability.

This article addresses challenges inherent in collaborative archival projects involving both large institutions and small historical societies. It identifies these unique problems and outlines potential solutions to overcome these issues. Examples are drawn from the Portal to American Jewish History project and contextualized within the professional literature on ethnic or community archives and archival collaboration. This project collected metadata from a wide range of Jewish history archives and aggregated the records in a single searchable website.
