To Discovery And Beyond: Using Workflow Automation As An Opportunity For Collaboration And Education, Rebecca B. French

This poster describes a project to automate portions of JMU Libraries' workflow for distributing Special Collections finding aids to various discovery platforms. Through the development of a custom Python app called Spaceport, we were able to greatly improve the efficiency and sustainability of this process while also providing a more consistent discovery experience for our patrons. The project also had broad impacts in other areas. Our incremental and collaborative approach provided space for professional development related to the project, supported evolving project goals and the process of adapting to the new workflow, and strengthened relationships between departments. Effective collaboration between archives and technical services increases the discoverability of special collection materials. Archivists at the University of Dayton had been using Archive-It to collect websites for a few years, but the information was isolated in a separate platform and wasn’t effectively marketed to users. Working together, the team of archivists and technical services librarians incorporated the website collections into the discovery layer. Metadata was added at the seed level and indexed on a single, user-friendly platform, with statistics gathered after promotion.

James Madison University Libraries' workflow for distributing its Special Collections finding aids to various discovery platforms historically involved a significant amount of manual data entry and hand-encoding. Through a series of small steps, we have been gradually improving this process by automating select tasks. I will share different iterations of our workflow, the automated solutions we've put into place, and the tools and technologies used, including XSLTs, APIs, and Spaceport, a custom Python app. As evidenced through the efficiencies, staff excitement, and other benefits we've observed, automation has transformed a previously tedious process while also facilitating the completion of other …

Learn about research data, datasets and data documentation for data sharing, re-use and long-term preservation. This session introduces best practices and recommendations for documenting and analyzing research data. Moreover, it includes real-world examples and a discussion of data tools for data documentation and analysis, such as NVivo for qualitative data and SPSS/SAS/STATA/R for quantitative data.”

The archives and library community has implemented linked data in recent years. Linked data empowers archivists to connect local data to a global audience using common identifiers and standards. However, due to the high level of institutional requirements that projects typically need with the high barrier of time and resources, many archivists have difficulty incorporating linked data practices into their daily descriptive work.

The COVID-19 pandemic put a major strain on everyday life. Academic institutions were forced to close, leaving many employees to resort to teleworking. Academic libraries were put in an unusual position, as they strove to provide access to library materials and services, despite limited to no access to the actual sites. This proved to be especially tricky for technical services and special collections departments, which heavily rely on being present at libraries. Therefore, these departments needed to develop solutions that would allow them to continue performing their duties while adhering to stay-at-home orders. As a result, 500,000 items will need to be shifted to other locations or off-site storage. As a robust and growing industry, often with strong ties to communities served, there is much potential for nonprofit organizations to harness powerful and rich databases of cultural information not found in any other sector. Yet research shows that in most cases, nonprofit organizations operate on limited budgets, tight deadlines, and may see the task of properly managing records as counter-productive to the mission of the organization. This research examines the systems of recordkeeping in nonprofit organizations in the U.S. and argues that record keeping staff must be considered an essential component for a nonprofit organization to survive and thrive.

Plagiarism is regarded as an academic crime, but can affect hobbies that rely on research and information sharing such as genealogy. The issue is well-known within the genealogy community. Within the context of creative information communities in general, fiction writers remain a relatively understudied community. This article seeks to rectify that gap by highlighting the information behaviors of fiction writers, including the ways in which they network, as well as the processes they use when writing. In doing so, it reveals that fiction writers of all genres have many experiences in common, such as the "seed incident" that serves as the starting point when writing fiction. Spaceport: A Finding Aid Launchpad, Rebecca B. French

JMU Libraries distributes its Special Collections finding aids to a number of discovery platforms, a process which historically has involved a significant amount of hand-encoding and manual data entry. We recently developed and implemented Spaceport, a Python app that has revolutionized this workflow. This presentation provides an overview of the app's functionality, which includes generating EADs for Virginia Heritage, HTML files for upload to the Libraries website, and MARCXML records for our catalog and OCLC. It also describes the efficiencies and other benefits we have observed from Spaceport's use.

The M.E. Grenander Department of Special Collections and Archives has digitized the most complete existing collection of execution records and is making them available for digital scholarship. M. Watt Espy spent his life documenting the death penalty in the United States. He created over 24,000 index cards and over 100,000 pages of reference material to document each case. The project connects this source material to a problematic 1980s-era execution dataset. We implemented Samvera’s open source digital repository software, Hyrax, which provides online access to all of the digitized materials.
