Build It And Will They Come?: Participatory Digital Archives, Hesitant Users, And The Emerging Archival Commons, Dallas C. Hanbury

In the mid-2000s, archivists introduced a range of Web 2.0-based participatory features into digital archives to make them more accessible to patrons. Some archivists hoped the increased accessibility of digital archives would lead to the creation of virtual communities of users that would eventually participate in archival workflows, especially description. Archivists’ desire culminated in the idea of the archival commons, a network-crowd sourcing model highly dependent on intensive user participation. Users however, only minimally used digital archives’ participatory features during the mid-‘00s. Recent scholarship though, reveals that users have begun to increasingly use the participatory aspects of digital archives, suggesting …

This article discusses the unorthodox manner in which the Southern Labor Archives, Georgia State University Library, received the records of the Professional Air Traffic Controllers Organization. Also discussed is how having no financial support from the decertified union considerably slowed efforts to process the voluminous collection and make it accessible to researchers.

This article presents an exploratory study of the use and interpretation of the position title “digital archivist,” and considers issues in how this term is used and understood, particularly in regard to working with born-digital materials. It looks at discussions of terminology and mentions of the digital archivist title in professional literature and provides a brief content analysis of digital archivist position advertisements from between 1995 and 2012 that focuses on responsibilities of working with born-digital versus digitization. The continuing backlog in collections processing could be reduced through the application of More Product Less Process (MPLP) or other approaches, but the effort is still hampered by a lack of personnel to assign to processing. This discussion addresses whether it is possible to consider student assistants a viable labor source in special collections and archives to mitigate this personnel gap. A retrospective literature review determined historical attitudes toward the use of student assistants in academic libraries and the tasks that students were capable of performing. Libraries, archives and museums (LAMs) have been creating metadata of various types (catalog records, archival finding aids, museum inventories, etc.) in one form or the other since their foundation. They have also been struggling as historically unique organizations with the best way to capture and manage metadata so that it can be used to organize their collections and provide increased access to users. More and more, archivists find themselves having to be advocates for their own institutions, fellow archival institutions, and themselves. This is an especially complicated turn of events because of discrepancy among archivists as to what specifically constitutes archival advocacy. Over the past year, as a response to this, the Issues & Advocacy Roundtable of the Society of American Archivists has been conducting surveys on archival advocacy in the profession, designed to gauge the advocacy environment as it exists among today’s archivists and archival institutions. Chuck Tanner, left fielder and manager in Major League Baseball, noted “There are three secrets to managing. The first secret is have patience. The second is be patient. And the third most important secret is patience.” Effectively managing processing staff in an archives or special collections permits supervisors to marshal the strengths of staff to accomplish processing goals. Successful processing programs facilitate the hiring, development, and retention of top-notch staff. Henry Mintzberg, Cleghorn Professor of Management Studies at McGill University, states simply, “Management is, above all, a practice where art, science, and craft meet."

Case Files: A Congressional Archivist's Dilemma, Cary G. Osborne

One of the more difficult decisions for congressional archivists is deciding what to do with case files. It might help to first understand what importance casework held in the congressperson’s career, particularly as it influenced chances of re-election. A review of the literature shows that there is little agreement among experts in this regard. In congressional archives there is also little agreement on whether the files should be retained. This paper looks at the advantages and disadvantages in using various methodologies in processing these files in an effort to clarify criteria for making that decision.

Archives and special collections experience pressure to digitize and make more of their holdings available online. Creating online digital collections is time consuming. Not only do the individual analog items need to be scanned, but descriptive metadata must be created for web searches and for historical context. According to the 2004 Institute of Museum and Library Services (IMLS) survey, archives cite lack of staff time as one of the top two hindrances for undertaking digitization projects.1 Often, archives and special collections cannot hire additional professional staff to carry out digital projects.
