In the last round of author-sharing policy revisions, Elsevier created a labyrinthine title-by-title embargo structure requiring embargoes from 12 to 48 months for authors sharing via institutional repository (IR), while permitting immediate sharing via an author’s personal website or blog. At the same time, all prepublication versions are to bear a Creative Commons-Attribution-Noncommercial-No Derivatives (CC-BY-NC-ND) license. At the time this policy was announced, it was criticized by many in the scholarly communication community as overly complicated and restrictive. However, this CC licensing requirement creates an avenue for subverting an embargo in the IR to achieve quicker and wider open distribution …

The central purpose of an institutional repository (IR) is providing open access to scholarship. That scholarship originates primarily through the work of faculty and students at research institutions, leading research libraries to embrace IRs and the scholarly communication movement. IRs typically include student theses and dissertations and faculty publications but sometimes extend far beyond to institutional records and documents. This talk is an expanded version of one given at the 2015 MOBIUS conference. Washington University librarians Emily Stenberg and Lauren Todd explain how they created and manage a collection in the university’s repository Open Scholarship for the Computer Science and Engineering department. This presentation will highlight how they developed a step-by-step workflow, addressed customization requests from the department, what really happened once that plan was implemented, and how they handle Bepress troubleshooting and faculty concerns. The presenters will also discuss how this project has helped them offer Open Scholarship as a service to other engineering faculty.

Creating an Institutional Repository from scratch creates a multitude of both opportunities and pitfalls in establishment of workflow, content creation, outreach and marketing policies, and stakeholder support. Nova Southeastern University’s Digital Commons based repository, NSUWorks, completed its first year in February 2015. During this session, the triumphs and tribulations of the first year will be discussed, along with future plans in order to give attendees a glimpse into one particular IR experience. Archival collection digitization, outreach/marketing, journal/book publishing, reporting tools, and collection development will also be covered.

On June 17, 2014, Library Services at Minnesota State University, Mankato launched Cornerstone: A Collection of Scholarly and Creative Works, the new institutional repository for the University. Cornerstone showcases the intellectual output of Minnesota State University, Mankato's faculty, staff, and students by preserving their works digitally and presenting them to the world in an easy-to-find format. Launching Cornerstone did not just happen overnight. This session will talk about our process in launching the repository and our marketing campaign and how our progress has well exceeded our goals and expectations.

Scholarly Commons continued to grow in 2014-2015, not only in content added and downloads, but in maturity of the process. At the beginning of the second year, many of the early challenges resolved as teams that oversee the administration and new development began to understand the system and each other’s strengths.

Members of the university community also developed a better understanding of Scholarly Commons and its value to many aspects of the research and academic mission. In October 2013, George Washington University's School of Public Health and Health Services (now the Milken Institute School of Public Health) approached the Himmelfarb Health Sciences Library about moving a large collection of Health Policy Department publications and citations from the school's website into the Health Sciences Research Commons (HSRC) institutional repository. After a project planning meeting with the school's representative, library staff began uploading documents and citations from the collection. Working from a spreadsheet and file set provided by the school, library staff processed 604 citations (including 319 full-text files) dating back to 1996. Despite some problem files and …

ERAU Scholarly Commons, the institutional repository of Embry-Riddle Aeronautical University (ERAU), debuted to little fanfare but great hope on May 30, 2013. The implementation team had worked for five months with bepress, the vendor, to construct a home page that reflects the unique aerospace concentration of the university. From the outset, Scholarly Commons has proven to be an important university resource for faculty and student research as well as for the creation of new journals and the home of conferences and events. Sharepoint Portal - Lehman Connect Master’S Thesis Repository Library – It Strategic Partnership, Madeline Cohen, David Stevens, Rasun Williams

Publications and Research

Lehman College’s Leonard Lief Library and Information Technology Division launched the Lehman Master’s Thesis Repository on its new Sharepoint portal in September 2011. The project team consisted of two librarians and three IT engineers. The presentation will outline the project’s development including rationale, the decision to host the repository on the Sharepoint portal, access issues, migration of data, custom programming, best practices and conclusions on the benefits of Library-IT collaboration.
