The University of Wyoming is the only four year higher education institution in the state, a unique position amongst colleges and universities in the United States. Given this unusual status it is especially important that the university libraries use their resources to identify and partner with communities around the state to build collections that preserve their cultural heritage. An Archive-It subscription was purchased in 2016, with an initial goal of capturing university related materials. Employing More Product, Less Process (MPLP) approaches we are making archival collections more readily available to our researchers. As we digitize our collections we extend the accessibility of these collections through 24/7 virtual access, enhancing collection, series, and folder level descriptions from finding aids with the item level metadata that accompanies the digital surrogates. But are we creating our metadata as efficiently as possible, and with enough of the original context that exists in our finding aids? Or is there some room for improvement? In the 1960s, a Louisville photography studio began donating its negatives, prints, and invoices to the University of Louisville Photographic Archives. The Caufield & Shook Collection remains a significant primary source for local history and a prime candidate for digitization. Unfortunately, on its receipt non-archivists processed the collection with little documentation of original order or organizational decision making. Additionally, workflow choices were determined largely by the desire to maximize student labor. This article presents the results of a survey designed to benchmark the use of vendors to support authority control activities in Association of Research Libraries member libraries. Such activities include updating authority or bibliographic records, sourcing authority records, participation in cooperative cataloging efforts, and more. The survey investigated whether and how responding libraries used vendors to create and maintain an authority file and process current cataloging records. The survey gathered demographic and other information about the libraries, and the authors sought to identify trends and correlations between these and other factors.

In this article, I examine the documentation of culture (DoC). This is the practice of gathering and producing the information and data relevant to intangible cultural phenomena. DoC is generally practiced by teams of documentalists generally outside GLAM institutions (i.e., galleries, libraries, archives and museums). As such, it differs from the preservation and description of concrete objects of cultural heritage done within those institutions. However, users can experience difficulty finding these resources due to the unconnected multitude of platforms and clearinghouses that host them. In 2015, ASC began planning for preserving and providing access to Omaha’s LGBTQ+ history through the Queer Omaha Archives. Fortunately, Ex Libris provides API access that allows you to add specialized functionality to your Alma workflows, or even access Alma's data through other web sites. In this presentation I will go over the basics of APIs, demonstrate how you can learn about and test them using the Ex Libris Developer Network, and show some examples of how they can be used to extend Alma's functionality.

When faced with the prospect of manually uploading thousands of collection objects into our digital repository, I knew I needed to create a workflow to automate batch uploading processes. This resulted in a workflow that allows me to take a metadata spreadsheet containing thousands of rows and transform it into a series of MODS XML files contained in one master file, using OpenRefine's templating tool. The csplit command can be used to split the master file up into thousands of fully-formed MODS XML files. Using a Perl script, the files can be batch renamed to match their corresponding digital object …

This paper describes the findings from a participatory prototype design project, where the authors worked with maternal and child health (MCH) researchers and stakeholders to develop a MCH metadata profile and sustainable curation workflow. This work led to the development of three prototypes: 1) a study catalogue hosted in Dataverse, 2) a metadata and research records repository hosted in REDCap and 3) a metadata harvesting tool/dashboard hosted within the Shiny RStudio environment. We present a brief overview of the methods used to develop the metadata profile, curation workflow and prototypes. Making a connection between digital repositories and library catalogues is an issue many libraries and archives face, especially when dealing with items that traditionally received full cataloguing records. This paper explores different workflows for reusing metadata to create catalogue records, connecting the two resources together. In order to have one interface to search both the older physical items and newer digital items, the archives and technical services department of the University of Arkansas Libraries worked together to create different workflows to save time and eliminate the need for double entry, using the open source software MarcEdit and XML Notepad. The goal of the SHARE initiative, a partnership between the Association of Research Libraries (ARL) and the Center for Open Science (COS), is to build a “free, open, data set about research and scholarly activities across their life cycle.” As of October 12, 2016, 129 repositories and publishers have made metadata available to SHARE for harvesting, and the aggregated data set is available for searching. Many metadata providers are institutional repositories utilizing the bepress Digital Commons platform whose metadata is harvested through the OAI-PMH (Open Archives Initiative Protocol for Metadata Harvesting) protocol for repository interoperability.

This article addresses challenges inherent in collaborative archival projects involving both large institutions and small historical societies. It identifies these unique problems and outlines potential solutions to overcome these issues. Examples are drawn from the Portal to American Jewish History project and contextualized within the professional literature on ethnic or community archives and archival collaboration. This project collected metadata from a wide range of Jewish history archives and aggregated the records in a single searchable website.

As part of the Collaborative Federal Depository Program (CFDP), two pieces of software were developed to support the collection development activities of FDLP libraries in the Southeast. Most are very familiar with the ASERL Disposition Database, but some may have forgotten its quiet counter-part, the ASERL COE Database. This database is comprised of brief cataloging records that indicate holdings for all Center of Excellence (COE) libraries (and other contributing depository libraries) in the Southeast and serves as a tool for analyzing the completeness of COE collection(s) and to identify gaps.

Despite increasing interest in and acknowledgment of the significance of video games, current descriptive practices are not sufficiently robust to support searching, browsing, and other access behaviors from diverse user groups. To address this issue, the Game Metadata Research Group at the University of Washington Information School, in collaboration with the Seattle Interactive Media Museum, worked to create a standardized metadata schema. This metadata schema was empirically evaluated using multiple approaches—collaborative review, schema testing, semi-structured user interview, and a large-scale survey.
