The COVID-19 pandemic and the resulting shift to working from home (WFH) and online education proved a boon for digital collections. Not only can digital collections provide researchers remote access to rare and unique archival materials, but the metadata work that facilitates its discovery can be adapted to a WFH environment. At Clemson University Libraries, the metadata team facilitated a WFH project where 15 Libraries employees across two units are helping to describe a collection of over 2400 photographs. The University of Georgia’s Alexander Campbell King Law Library has a staff of around 25 with a strong culture of face-to-face communication, collegiality and socialization. This practical session covers how Clemson University Libraries’ metadata team describes their largest digital collection of historical images. It focuses on what the team has learned from this project thus far. This includes developing workflows and strategies for describing images, creating and using a controlled vocabulary of local headings, and leveraging expertise across the libraries to streamline metadata creation. The team walks through the metadata management tool CollectiveAccess, shares image examples from the collection, and discusses the benefits of metadata documentation. Some say that the only constant in libraries is change but it is often a challenge for our employees. A small committee of public service managers were tasked to explore public service operations and organizational structure through examining the ways in which units communicated, cross trained, and staffed various services. The review process and discussions were expected to include all personnel from access services, research and instruction, resource sharing, stacks, security, and facilities.

Four different ways of involving employees through a comprehensive review process, including SWOTT analysis, roundtable discussions, card sorting, and organizational structure review.

Student Services Librarian Geraldine Kalim and Metadata Services Librarian Rachel Evans shared their favorite web-based applications and smartphone apps. Tools included Kanbanflow, Google Suite, Trello, Slack, Moleskin Journey, and Voice Notes. Screen captures and specific examples of how each presenter uses the apps in their daily worklife in the law library as well as examples of special projects and best apps for team collaboration were given. Modern academic library shelves are no longer limited to books and media—collections today include “unicorns,” which we define as unique items such as DSLR cameras, VR headsets, puppets, modeling kits—even skeletons and drones. Supporting students’ ever-changing curricular and research needs requires constant creativity, problem solving, and technology expertise.

Partnerships across campus ensure close attention to the nuances of university curriculum. For Access Services, curating robust physical reserve collections involves purchasing considerations, special shelving and packaging, customized loan periods, reservation systems, and careful maintenance of high-use, delicate items.

Congratulations! Your college or university is ready to plan (or maybe expand!) a campus-wide initiative focused on Open Educational Resources or other textbook alternatives. But OER and affordability programs vary widely in scope, funding, and strategies, described in articles, book chapters, and news stories. At Grand Valley State University, library OER supporters faced this situation when our faculty senate established a task force to identify university-wide strategies for OER and affordable course materials.
