Catalogers are increasingly responsible for creating metadata for a variety of unusual items. In the Beyond Books: Cataloging Special Format Items preconference at ULA 2019, participants learned how to catalog manuscripts/archival collections, artists’ books, zines, and posters. This webinar will reprise the Manuscripts and Archival Collections segment of that session, educating participants on when it’s appropriate to catalog special collections material archivally as a collection versus on an item level. Whether you have finding aids to use as a base for your catalog record or you are working directly with the materials, guidelines for using DACS and RDA for manuscript …

Archival materials can often be found in cultural heritage organizations that do not have trained special collections catalogers on staff. In this workshop, participants will learn how to catalog manuscripts, photographs, and audiovisual materials so they can be discovered in online catalogs and databases. Both item and collection-level cataloging will be discussed and participants will learn when and how to apply metadata standards like RDA and DACS. Time for hands-on practice will be included.

Privacy, Ethics, And Access In Digital Libraries, Kelley Rowan, Rebecca Bakker
Works of the FIU Libraries
This presentation shares privacy challenges that librarians in the Digital Collections Center at FIU have encountered when working with the creators of content in the institutional repository and digital collections. The presenters share a brief history of privacy laws and the ethical concerns inherent in the juxtaposition between access and privacy. This presentation suggests possible solutions for other digital librarians concerned about privacy and take down requests.

Big Data: Managing Large Scale Metadata Projects In A Teleworked Environment, Rachel S. Evans, Mary Miller, Kathleen Carter, Kelley Ansley
Presentations
Beginning in March of 2020, Mary Miller and Kathleen Carter coordinated the work of over 100 University of Georgia Libraries students, faculty, and staff on remote metadata projects for the Brown Media Archives. The great majority of these UGA employees were not catalogers, were not familiar with metadata concepts, and had never visited the Brown Media Archives. Yet, in a four-month period, they successfully completed a quantity of work that would have taken Brown Media two and a half years to accomplish at regular staffing levels. Miller and Carter will share what they got right, what they got wrong and …

Born-Digital Preservation: The Art Of Archiving Photos With Script And Batch Processing, Rachel S. Evans, Leslie Grove, Sharon Bradley
Articles, Chapters and Online Publications
With our IT department preparing to upgrade the University of Georgia’s Alexander Campbell King Law Library (UGA Law Library) website from Drupal 7 to 8 this fall, a web developer, an archivist, and a librarian teamed up a year ago to make plans for preserving thousands of born-digital images. We wanted to harvest photographs housed only in web-based photo galleries on the law school website and import them into our repository’s collection. The problem? There were five types of online photo galleries, and our current repository did not include appropriate categories for all of the photographs. The solution? Expand our …

Workshop on data documentation, analysis & statistical software delivered online to the University of Central Florida (UCF)’s graduate students. This workshop is conducted by a Statistician at the College of Medicine and the Metadata Librarian at UCF. It includes five modules which focus on data basics, data documentation, dataset metadata, data analysis and statistical software. The data basics section introduces data, research data and dataset, the need for documenting and preserving research data. The data documentation and dataset metadata sections touch on researchers’ data practices and offer some general recommendations for a researcher’s research lifecycle. They also discuss documenting data …

The Chinese American Librarians Association’s Academic Resources & Repository System (CALASYS) was established in 2013 and has been growing gradually ever since. To seek sustainable and greater growth in the future, the CALASYS 2019-2020 Committee reviewed previous efforts and explored new potentials in the repository’s content development, interface and functionality improvement and community engagement. This presentation will cover several issues that the Committee has addressed since its forming: developing new content for CALASYS such as a new top-level collection called ”Chinese Culture Heritage & Chinese Studies” and its children collections including the CALA Best Book Award Collection; starting or resuming …

This poster describes a project to automate portions of JMU Libraries' workflow for distributing Special Collections finding aids to various discovery platforms. Through the development of a custom Python app called Spaceport, we were able to greatly improve the efficiency and sustainability of this process while also providing a more consistent discovery experience for our patrons. The project also had broad impacts in other areas. Our incremental and collaborative approach provided space for professional development related to the project, supported evolving project goals and the process of adapting to the new workflow, and strengthened relationships between departments. In addition to …

Increasing Access To Web Archives: Archive-It And The Discovery Layer, Christina A. Beis, Kayla Harris, Stephanie Shreffler

Effective collaboration between archives and technical services increases the discoverability of special collection materials. Archivists at the University of Dayton had been using Archive-It to collect websites for a few years, but the information was isolated in a separate platform and wasn’t effectively marketed to users. Working together, the team of archivists and technical services librarians incorporated the website collections into the discovery layer. Metadata was added at the seed level and indexed on a single, user-friendly platform, with statistics gathered after promotion.

Small Steps Make Giant Leaps: An Incremental Approach To Technical Services Workflow Automation, Rebecca B. French

James Madison University Libraries' workflow for distributing its Special Collections finding aids to various discovery platforms historically involved a significant amount of manual data entry and hand-encoding. Through a series of small steps, we have been gradually improving this process by automating select tasks. I will share different iterations of our workflow, the automated solutions we've put into place, and the tools and technologies used, including XSLTs, APIs, and Spaceport, a custom Python app. As evidenced through the efficiencies, staff excitement, and other benefits we've observed, automation has transformed a previously tedious process while also facilitating the completion of other …

Workshop on data documentation, databases & statistical software delivered at the University of Central Florida’s Graduate Student Center. “Join a Statistician and a Metadata Librarian for an introduction to data documentation, databases and statistical software. Learn about research data, datasets and data documentation for data sharing, re-use and long-term preservation. This session introduces best practices and recommendations for documenting and analyzing research data. Moreover, it includes real-world examples and a discussion of data tools for data documentation and analysis, such as NVivo for qualitative data and SPSS/SAS/STATA/R for quantitative data.”

Be Empowered! Take The 'Scary' Out Of Linked Data, Angela Yon, April K. Anderson-Zorn
Faculty and Staff Publications – Milner Library
The archives and library community has implemented linked data in recent years. Linked data empowers archivists to connect local data to a global audience using common identifiers and standards. However, due to the high level of institutional requirements that projects typically need with the high barrier of time and resources, many archivists have difficulty incorporating linked data practices into their daily descriptive work.
The Dr. Jo Ann Rayfield Archives at Illinois State University’s Milner Library received the opportunity to digitize a segment of the expansive Ken-Way Studio Photograph Collection. The collection encompasses 120 linear feet and documents the history of …
