Wichita State University is known for its advances in STEM research for many decades, but there were few inventions patented by WSU. In recent years, commercialization of the results of applied research, especially bioengineering, became a university focus; the number of WSU owned patents increased significantly. WSU initiated several initiatives to support university inventors. These included the development of the Innovation Campus and WSU Venture. The Wichita State University Libraries decided to join these efforts by not only providing information to inventors as a Patent and Trademark Resource Center but to archive and increase awareness of their patents. Archival materials can often be found in cultural heritage organizations that do not have trained special collections catalogers on staff. In this workshop, participants will learn how to catalog manuscripts, photographs, and audiovisual materials so they can be discovered in online catalogs and databases. Both item and collection-level cataloging will be discussed and participants will learn when and how to apply metadata standards like RDA and DACS. Time for hands-on practice will be included.

This presentation shares privacy challenges that librarians in the Digital Collections Center at FIU have encountered when working with the creators of content in the institutional repository and digital collections. The presenters share a brief history of privacy laws and the ethical concerns inherent in the juxtaposition between access and privacy. This presentation suggests possible solutions for other digital librarians concerned about privacy and take down requests.

Beginning in March of 2020, Mary Miller and Kathleen Carter coordinated the work of over 100 University of Georgia Libraries students, faculty, and staff on remote metadata projects for the Brown Media Archives. The great majority of these UGA employees were not catalogers, were not familiar with metadata concepts, and had never visited the Brown Media Archives. Yet, in a four-month period, they successfully completed a quantity of work that would have taken Brown Media two and a half years to accomplish at regular staffing levels. With our IT department preparing to upgrade the University of Georgia’s Alexander Campbell King Law Library (UGA Law Library) website from Drupal 7 to 8 this fall, a web developer, an archivist, and a librarian teamed up a year ago to make plans for preserving thousands of born-digital images. We wanted to harvest photographs housed only in web-based photo galleries on the law school website and import them into our repository’s collection. The problem? There were five types of online photo galleries, and our current repository did not include appropriate categories for all of the photographs. The solution? Expand our …

This workshop is conducted by a Statistician at the College of Medicine and the Metadata Librarian at UCF. It includes five modules which focus on data basics, data documentation, dataset metadata, data analysis and statistical software. The data basics section introduces data, research data and dataset, the need for documenting and preserving research data. Freed Faces, Our Past Americans: Collaborations To Create, Digitize And Describe The “Former Slaves In Freedom” Collection, Gayle Porter

The Chicago State University (CSU) Archives collaborated with the International Society of Sons and Daughters of Slave Ancestry (ISDSA), a Chicago-based lineage society, to digitize, describe, and make accessible online a collection of 359 private historic photographs of formerly enslaved African Americans, and 90+ brief family histories, submitted by descendants. This case study describes the benefits, processes, and challenges of this unique, unfinished collaborative project. The study also describes: 1. Creative, flexible approaches to collaborative digital projects by an academic institution and a community organization; 2. Balancing cataloging/metadata standards while respecting a curator’s goals for the collection.

To Discovery And Beyond: Using Workflow Automation As An Opportunity For Collaboration And Education, Rebecca B. French

This poster describes a project to automate portions of JMU Libraries' workflow for distributing Special Collections finding aids to various discovery platforms. Through the development of a custom Python app called Spaceport, we were able to greatly improve the efficiency and sustainability of this process while also providing a more consistent discovery experience for our patrons. The project also had broad impacts in other areas. Our incremental and collaborative approach provided space for professional development related to the project, supported evolving project goals and the process of adapting to the new workflow, and strengthened relationships between departments. Effective collaboration between archives and technical services increases the discoverability of special collection materials. Archivists at the University of Dayton had been using Archive-It to collect websites for a few years, but the information was isolated in a separate platform and wasn’t effectively marketed to users. Working together, the team of archivists and technical services librarians incorporated the website collections into the discovery layer. Metadata was added at the seed level and indexed on a single, user-friendly platform, with statistics gathered after promotion.

Small Steps Make Giant Leaps: An Incremental Approach To Technical Services Workflow Automation, Rebecca B. French

James Madison University Libraries' workflow for distributing its Special Collections finding aids to various discovery platforms historically involved a significant amount of manual data entry and hand-encoding. Through a series of small steps, we have been gradually improving this process by automating select tasks. I will share different iterations of our workflow, the automated solutions we've put into place, and the tools and technologies used, including XSLTs, APIs, and Spaceport, a custom Python app. As evidenced through the efficiencies, staff excitement, and other benefits we've observed, automation has transformed a previously tedious process while also facilitating the completion of other …

The archives and library community has implemented linked data in recent years. Linked data empowers archivists to connect local data to a global audience using common identifiers and standards. However, due to the high level of institutional requirements that projects typically need with the high barrier of time and resources, many archivists have difficulty incorporating linked data practices into their daily descriptive work.
