Year At A Glance: Moving Digital Archives At A Public University, Blake Graham

In late 2016, the Archives and Special Collections unit at the University of Nebraska-Lincoln Libraries hastily began migrating archival information from a local file server to Rosetta, an Ex Libris preservation software solution. With the aid of the Computer Operations and Research Services team – the primary information technology support team for UNL Libraries – several tasks were divided between select individuals in order to carefully move 9TB of metadata and digital objects. This presentation discusses the scope and details of the archival data migration project, as well as the subsequent impact on workflows for digital objects and metadata.

Many organizations and institutions rely heavily on a web presence to disseminate information and to manage programs and policies. This tendency leaves library and archive professionals with a challenge: how best to capture and preserve web-based information and resources. Over the last few years, the proactive collection and management of web archives has gained traction across all types of libraries and archival repositories. The University Archives Department at Indiana State University (ISU) assists faculty, students, and the public by providing access to and preservation of primary resources and ISU history. Despite the resources and services available, archival holdings are often underused and receive few donations from students and student organizations. These students are often unaware of the function and uses of the archives. To address these concerns, Special Collections staff have created a website utilizing the Omeka platform called STATE-IT to engage students with the University Archives. The Society of American Archivists Congressional Papers Section formed the CSS/CMS Task Force in August 2016 to study the issue of constituent correspondence management systems, and this report addresses the ongoing development and use of constituent services data in Congress; the vendors, systems, and functionality; and the obstacles faced by collecting repositories. It provides an overview of research conducted with analog constituent correspondence and the vast potential for research with constituent data. Digital information resources are a vitally important and increasingly large component of academic libraries’ collection and preservation responsibilities. This includes content converted to and originating from digital form (born-digital). Preserving digital material, such as social media and websites, is essential for ensuring that future generations know everyone’s story, especially those groups which have been historically underrepresented in official records. In the summer of 2017, the Marian Library—a special library devoted to the Blessed Virgin Mary within the larger University of Dayton Libraries system—completed a move of its rare book and archival collections into a new space within the main library building. The space, previously leased to the Society of Mary provincial archives, was already outfitted with a Liebert system for temperature and humidity controls, as well as shelving and some furniture.

This presentation took place at the 2017 DigiPres Conference in Pittsburgh, PA. Our panel focused on National Digital Stewardship Residency projects united by the common thread of ‘best versus good enough’ and the residents’ experiences navigating the political nature of best practices and compromise, covering topics such as scalability, institutional resources, competing priorities, and responding to new policy implementations.

This is an overview of a project that was started in 2015 that was collaboratively designed by archivists and historians with the La Guardia & Wagner Archives and LaGuardia Community College’s faculty/librarians. It involves students in the production of a needed public history of the outbreak and impact of HIV/AIDS in New York City via writing and researching contributions to Wikipedia.

Open-Source Opens Doors: A Case Study On Extending Archivesspace Code At Unlv Libraries, Cyndi Shein, Carol Ou, Karla Irwin, Carlos Lemus

The University of Nevada, Las Vegas (UNLV) Libraries is in its third year of implementing the open-source archival collection management application ArchivesSpace, and is sharing UNLV-developed code that extends ArchivesSpace’s built-in functions. The case study demonstrates how adopting and building upon community-created code and developing original local code is improving critical workflows that support creating collection descriptions, cleaning up metadata, and disseminating finding aids that are easier for researchers to comprehend. The IMSA Archives, housed in the Leto M. Furnas Information Resource Center, serves to collect and preserve materials relating to the history and ethos of the Illinois Mathematics and Science Academy and the activities of its students, faculty and staff. Our collection includes materials about IMSA’s establishment, led by Dr. Leon Lederman and Governor James Thompson; the Academy's development since 1986; its ideas and programs; partnership programs for educators and schools state- and nationwide; and the lives of its students, alumni, and staff.

At the NDSRDC 2017 Symposium, "Blending Collaborations and Bridging Gaps: Digital Preservation Communities of Practice," each resident gave a lightning talk on their year long project through the National Digital Stewardship Residency Fellowship. The projects included in these slides took place at the U.S. Food & Drug Administration, Georgetown University, World Bank Group, and a joint effort between the Association of Research Libraries (ARL) and George Washington (GW) University.

Streamlining Archives Reference Through Online Task Management, Jay-Marie Bravent, Daniel Weddington

Following an organizational shift that flattened the hierarchy and prioritized security, use, and collection management, research services at UK Libraries SCRC continued to face logistical roadblocks to meeting patron reference and research needs. Specifically, SCRC relied on an often chaotic system of listserv streams monitored by 10-15 team members to manage patron interaction and internal communication. This approach left no easily discernible way for the research services team to assign tasks, facilitate collaboration, monitor progress, or derive statistics. This article will discuss how SCRC successfully implemented a streamlined, task management approach to archives reference using freely available online tools.

The University of Nebraska at Omaha (UNO) Libraries offers a variety of unique and specialized collections in the Archives & Special Collections (ASC) for UNO and Omaha community members. In 2015, ASC began planning for preserving and providing access to Omaha’s LGBTQ+ history through the Queer Omaha Archives. Archival silences were defined by archivist Rodney Carter as the manifestation of the actions of the powerful in denying the marginalized access to archives with further definition by archivists and researchers expanding this definition. More Than a Memory: Exploring Purdue University's History Through Objects extends a 2014 undergraduate effort, which resulted in the publication Little Else Than a Memory: Purdue Students Search for the Class of 1904. Purdue students in 2016-2017 academic year sought to understand the history of Purdue University and to recover the student experience more than 100 years prior, at the turn of the twentieth century. This research, conducted primarily within Purdue Archives and Special Collections, includes choosing, investigating, and analyzing the material objects those students left behind.

Since 1958, the Archives of the Southern Sociological Society have been housed in the Special Collections Research Center in the University of Kentucky Libraries. The collection includes official minutes, correspondence, newsletters, membership lists, photographs, and other official documents generated by the Society and dating from the Society's founding in 1935 to the present. The article discusses the reason behind the reluctance of some researchers to deposit their work in institutional repositories (IR). These include ignorance on the existence of IR and the right of researchers to self-archive, lack of permanent institutional affiliation, and the tendency of IR to offer poor user experience. Also mentioned is the need aggregate each IR and the advantage of IR over centralized silos.

Journal of Contemporary Archival Studies

Altmetrics are an alternative to traditional measurement of the impact of published resources. While altmetrics are primarily used by researchers and institutions to measure the impact of scholarly publications online, they can also be used by archives to measure the impact of their diverse online holdings, including digitized and born-digital collections, digital exhibits, repository websites, and online finding aids. Furthermore, altmetrics may fill a need for user engagement assessments for cultural heritage organizations. This article introduces the concept of altmetrics for archives and discusses barriers to adoption, best practices for collection, and potential further areas of study.
