This presentation will share the results of a new initiative developed by the ETD Librarian at Florida International University (FIU) to develop a personal connection between students and the ETD Librarian. The goal is threefold; to provide a personal contact and open communication channel within the library to whom students can address publishing best practices and concerns with, to better inform and engage students in the metadata process of submitting theses and dissertations, and to spur the growth of knowledge and usage of ORCID. In this presentation, Debra Charlesworth, Assistant Dean for Graduate Studies and Postdoctoral Affairs and Annelise Doll, Scholarly Communications and Repositories Librarian, both of Michigan Technological University, discuss their investigation into Creative Commons licensing for the open-access master’s theses, master’s reports, and dissertations (ETDRs) hosted on Digital Commons @ Michigan Tech, the University's institutional repository. XSL stylesheet to transform bepress Digital Commons issue-level journal XML to Crossref 4.4.2 XML in preparation for batch upload to Crossref and DOAJ. As of December 2020, both Crossref and DOAJ accept Crossref 4.4.2 formatted XML for batch upload. Instructions appear in the stylesheet above the tag. This article highlights the key concepts of institutional repositories and identifies the strengths of Digital Commons and Wesleyan Holiness Digital Library products. Special attention is given to software structures and features, support systems, and factors that impact quality. Digital Commons has done a pretty good job at keeping its metadata forms user friendly. First, the form should be as simple as we can make it. Hide metadata fields that are not needed for the document type at hand. Second, add fields that you need but other universities may not. Digital Commons’ support staff has no problem creating special fields for us. Third, use dropdown lists to pick options when options are limited and known. And fourth, make the most-often-chosen option into the readily visible default option. All of these will save time and cut down on confusion.

This presentation was given at the Digital Commons Southeastern User Group conference at Winthrop University, South Carolina on June 5, 2015. The presentation discusses how the digital collections center (DCC) at Florida International University uses Digital Commons as their tool for ingesting, editing, tracking, and publishing university theses and dissertations. The basic DCC workflow is covered as well as institutional repository promotion.
