This practical session covers how Clemson University Libraries’ metadata team describes their largest digital collection of historical images. It focuses on what the team has learned from the project, including developing workflows and strategies for describing images, creating a local heading controlled vocabulary, and leveraging expertise to streamline metadata creation. The team explains the metadata management tool CollectiveAccess, shares examples from the collection, and discusses benefits of documentation. The session concludes with continued metadata challenges.

Beginning in March of 2020, Mary Miller and Kathleen Carter coordinated the work of over 100 University of Georgia Libraries students, faculty, and staff on remote metadata projects for the Brown Media Archives. The great majority of these UGA employees were not catalogers, were not familiar with metadata concepts, and had never visited the Brown Media Archives. Yet, in a four-month period, they successfully completed a quantity of work that would have taken Brown Media two and a half years to accomplish at regular staffing levels. Florida International University has developed a semi-automated process for harvesting and transforming qualified Dublin Core metadata to MARC for electronic theses and dissertations published in Digital Commons for inclusion in the library catalog. This presentation will share the workflow whereby metadata is harvested via OAI-PMH; transformed to MARC using a script; and ingested into the catalog. Challenges and benefits of this workflow will be discussed.

This presentation will also share information related to our retrospective thesis and dissertation scanning project; the need to overlay existing records in the catalog with new metadata; and specific challenges related to RTDs.

On the one-year anniversary of the CCU Digital Commons repository the organization of the Collections / Communities.html page was reviewed to gauge the need for revisions. Over 100 Digital Commons sites were examined to see how other repository managers organized their Collections pages. Top-level communities were coded into Community Types and were analyzed to surface trends in current practice. This presentation reviews trends in practice that emerged during research, as well as some of the best practices that were identified, including planning, iteration, labeling, limiting jargon, and finding a balance with top-level and nested content. Beginning in 2016, patents issued by the U.S. Patent and Trademark Office (USPTO) granted to Oklahoma State University were included in SHAREOK (https://shareok.org/.). The joint institutional repository for the Oklahoma State University Libraries (OSU) and the University of Oklahoma Libraries (OU), SHAREOK serves as the home for the intellectual output of both communities and will ultimately include digital dissertations, faculty publications, digital special collections, open access publications, and open educational resources. Using Captions And Controlled Vocabulary To Describe Visual Materials As An Alternative To Digitization, Eric Willey

This article describes an Illinois State University Research Grant funded project which created newspaper style captions and controlled vocabulary terms for visual materials. These materials were not intended to be digitized, and a guide separate from the finding was created including that metadata to improve access. The collection described consisted of materials donated by Lois Lenski, who donated her collection to institutions across the United States. Student workers were hired with grant funds to provide the metadata, and difficulties, successes, and outcomes encountered during the project are described..^[1]

Utah State University Libraries (USU) employs community-based crowdsourcing metadata practices that provide in-depth, collaborative strategies that go beyond more commonly used collecting methods. Improved metadata quality is a result of working closely with donors, community scholars, students, and the public to describe cultural heritage collections fairly and thoroughly. This article provides an overview of successful ways to collaborate with those outside of traditional library units to create more diverse, equitable and inclusive descriptions of archival resources.

Scholars have identified interoperability issues in mapping metadata in a linked data environment (Zeng 2019). This study builds on previous research and proposes a creative use of Ranganathan’s (1989) three planes of work in classification activity. By extending the application of the three planes of work to the linked data environment, we can use this conceptual model as an analytical tool to highlight particular mapping challenges. This paper uses three cases to show how discrepancies between the idea plane, verbal plane, and notational plane may cause mapping issues. The article informs about the strategy librarians at the University of Georgia's Alexander Campbell King Law Library used for applying Optical character recognition (OCR) to hundreds of documents during their multi-month COVID-19 pandemic lockdown; presenting a new opportunity for their OCR project because they needed work that staffers could do remotely; and how some staffers had duties that could only be performed in the building and were greatly limited after.

Smartcitecon: Implicit Citation Context Extraction From Academic Literature Using Unsupervised Learning, Chenrui Gao, Haoran Cui, Li Zhang, Jiamin Wang, Wei Lu, Jian Wu

We introduce SmartCiteCon (SCC), a Java API for extracting both explicit and implicit citation context from academic literature in English. The tool is built on a Support Vector Machine (SVM) model trained on a set of 7,058 manually annotated citation context sentences, curated from 34,000 papers in the ACL Anthology. The model with 19 features achieves F₁=85.6%. SCC supports PDF, XML, and JSON files out-of-box, provided that they are conformed to certain schemas. The API supports single document processing and batch processing in parallel. It takes about 12–45 seconds on average depending on the format to process a …

This primer was created as part of the "Specialized Data Curation" Workshop #3 held at Washington University in St. Louis, MO on November 5-6, 2019. Exploring SAS application and how researchers generated, stored, and shared their SAS data sets, this work summarized the key features of SAS data and explained how to curate SAS data in institutional data repositories. This primer can be used as a manual for research data curators or librarians to document SAS data for the purpose of data preservation and sharing.
