Selecting An Electronic Records Repository Platform At The South Carolina Department Of Archives And History, Brian Thomas

Journal of Contemporary Archival Studies

In the 2014–2015 fiscal year the South Carolina Department of Archives and History decided to embark on the journey to creating a repository that would house and preserve incoming state agency electronic records. This case study discusses the journey of the newly hired electronic records archivist in researching, evaluating, and recommending a digital repository platform. It also provides a set of take-away lessons learned through the process in the hope that it will help other archivists investigating repository platforms.

Digital libraries, either open source or commercial, are the center of the information community. But still, research into their extended durability and the easier accessibility of their operations remains unexplored. Preservation of digital materials is a dynamic and evolving process: the methods are changing, as are the technical requirements. It is hard, and the complex surrounding digital preservation has made it even harder. Digital artefacts generated through use of social media tools= have potential long-term value to individuals, organizations and societies. If there is a desire to systematically collect and preserve accounts of daily life, government activities, and societies’ documentary heritage, archival approaches must account for changing information systems—the tools, policies, and practices through which we engage in the contemporary information ecosystem. This poster presents a research project that explores the challenges presented to Institutional Repositories (IRs) by the requirements of long-term digital preservation and copyright compliance. IRs have been developed by universities throughout North America and Western Europe with the goals of preserving and making accessible the scholarly output of academic communities, including materials that range from publications to scientific data sets.
