Digitizing And Cataloging A Corporate Annual Reports Collection: A Canadian Perspective, Alie Visser, Elizabeth Marshall, Joyce Cheung
Western Libraries Publications
Corporate annual reports provide a snapshot of a company's operations and financial status. Reviewing and comparing years of annual reports can provide a rich history of knowledge on a corporation. Preserving, storing, and digitizing Canadian annual reports has been a mission of the C.B. “Bud” Johnston Library in London, Ontario, Canada. In late 2019 when Western Libraries migrated to a new library services platform, Alma, there was a new opportunity to catalog and provide access to the digitized annual reports collection. This article describes a decade long plan to digitize the print collection by library staff and a subsequent project …

Catalogers are increasingly responsible for creating metadata for a variety of unusual items. In the Beyond Books: Cataloging Special Format Items preconference at ULA 2019, participants learned how to catalog manuscripts/archival collections, artists’ books, zines, and posters. This webinar will reprise the Manuscripts and Archival Collections segment of that session, educating participants on when it’s appropriate to catalog special collections material archivally as a collection versus on an item level. Whether you have finding aids to use as a base for your catalog record or you are working directly with the materials, guidelines for using DACS and RDA for manuscript …

Archivists and archival collections can often be siloed into the “special” corner of their parent library: under described, underutilized, and often even unknown. Finding a path out of isolation may require taking a new look at collection management needs and considering new partners in the work. Collaboration with colleagues can result in positive ripple effects that extend beyond the initial project goals. This session will highlight three innovative description projects where archivists partnered with non-archivists to improve access to targeted collections and will detail how their collaborations transformed their archival collections, work structures and relationships, and, ultimately, their users. After …

Nineteenth-Century Depictions Of Disabilities And Modern Metadata: A Consideration Of Material In The P. T. Barnum Digital Collection, Meghan R. Rinn
Journal of Contemporary Archival Studies
The Library of Congress subject headings have been examined in the past for their classification of subjects relating to race, gender, and sexuality. Overlooked is subject headings that relate to disabilities. In the course of creating records for the archival and object material that form the P.T. Barnum Digital Collection, the project discovered the imperfections of the Library of Congress subject headings, and the need to develop standards and protocols for the material. This resulted in a balance of language that respects the preferences of living communities and their best practices, and the existing language in the Library of Congress, …

Mainstreaming University Publications: Designing Collaboration Across Library Units For Discovery And Access, Cindy Cline, Ruth E. Bryan

Various divisions, branches, and departments within the University of Kentucky Libraries collect University publications, most especially the University Archives. Depending on the reasons for acquisition and the Library area's descriptive practices, the publications are more or less discoverable by fellow librarians and by researchers. Is it possible to develop workflows that allow the University Archivist to collect and maintain University publications at a collection or unit level, while simultaneously providing bibliographic item-level access to the same publications? In today's environment of high levels of technology, library and archives online management systems, and discovery systems, is it possible for libraries and …

A unique collection of English land indentures from the 16th to 20th centuries is at the center of a large undertaking at BYU’s Perry Special Collections. This project required close collaboration between the faculty member who made the original digitization request, the Special Collections curator, our Collection Management team, the Conservation lab, our Manuscripts Cataloger, the digital lab, our Metadata Cataloging Specialist and multiple student workers. This presentation gives …

Work Smarter, Not Harder, Amy Jo Hunsaker
Work Smarter, Not Harder, Amy Jo Hunsaker

Academic institutions’ digital collections often face the challenging issue of not having enough professionals to create metadata for the thousands of digital objects that exist in their collections. Anybody can scan, but not everyone is cut out for metadata creation. However, universities abound with intellectual and energetic pre-professionals, a.k.a. students. Instead of assigning student workers and volunteers to perform purely menial tasks, why not tap into their ability to learn and train them to do more “professional” jobs, such as metadata creation and website maintenance? With an entire campus filled with students eager to gain experience and willing to study, …

Better, Faster, Stronger: Integrating Archives Processing And Technical Services, Gregory C. Colati, Katherine M. Crowe, Elizabeth S. Meagher
University Libraries: Faculty Scholarship
The University of Denver’s Penrose Library implemented a consolidated cataloging and archives processing unit for all materials, taking advantage of the structure, workflow design, and staff resources that were already in place for library-wide materials processing: acquisitions, cataloging, binding, and stacks maintenance. The objective of Penrose Library’s integrated approach was to efficiently create metadata that allow searches based on subject relevance rather than on collection provenance. The library streamlined archives processing by integrating digital content creation and management into the materials processing workflow. The result is a flexible, sustainable, and scalable model for archives processing that utilizes existing staff by …
