Spaceport: A Finding Aid Launchpad, Rebecca B. French

JMU Libraries distributes its Special Collections finding aids to a number of discovery platforms, a process which historically has involved a significant amount of hand-encoding and manual data entry. We recently developed and implemented Spaceport, a Python app that has revolutionized this workflow. This presentation provides an overview of the app's functionality, which includes generating EADs for Virginia Heritage, HTML files for upload to the Libraries website, and MARCXML records for our catalog and OCLC. It also describes the efficiencies and other benefits we have observed from Spaceport's use.

This study provides both a quantitative estimate and qualitative analysis of the additional ‘retrieval power’ that professionally assigned subject indexing affords users of a typical database in the field of education. A full version of Informit’s A+ Education database and one stripped of its subject indexing were searched by four research assistants tasked with compiling exhaustive bibliographies on forty-eight topics. The searchers were then surveyed about their use of the two databases, while their bibliographies and search logs were also examined. A two-way ANOVA model was constructed to estimate the percentage of additional resources found by the searchers on the …

This poster describes a project to develop Spaceport, a Python app that transforms EAD finding aids from ArchivesSpace into EADs for Virginia Heritage, HTML files for the JMU Libraries website, and MARCXML records for the catalog. Effective collaboration between archives and technical services increases the discoverability of special collection materials. Archivists at a medium-sized institution had been using Archive-It to collect websites for a few years, but the information was isolated in a separate platform and wasn't effectively marketed to users. Working together, the team of archivists and technical services librarians incorporated the website collections into the discovery layer. Metadata was added at the seed level and indexed on a single, user-friendly platform. Attendees learned about implementing digital archive collections and explored how to increase their visibility through marketing.

In 2018, the University of the Pacific Libraries worked with a faculty member in the School of Engineering and Computer Science to upload a class project involving multi-file records to the institutional repository. One of the file types was an .EXE executable Virtual Reality (VR) application. In 2018 Providence St. Joseph Health launched an institutional repository, primarily staffed by a librarian located in Oregon and a library assistant located in Montana with occasional help from other Library Services staff. Workflow and communication standards had to be created that would allow library staff in multiple locations and time zones to seamlessly launch, populate, and manage the institutional repository. Outreach, instruction, and promotion tactics had to also be created to reach researchers and clinical staff across six states and 100+ locations.

Background: While more common in university settings, institutional repositories (IR) have a place within hospitals and healthcare systems too, though the challenges in creating them may be different. This paper looks at the development of a Digital Commons institutional repository at Providence St. Joseph Health. The authors present the necessary steps for a successful initiative beginning with the planning process and building from there. Highlighted are some of the different challenges faced in non-academic settings; considerations when selecting a platform and designing and structure; and recommendations for doing outreach and promotion to unique user groups.

Effective collaboration between archivists and technical services librarians can increase the discoverability of special collection materials. In this panel presentation, archivists and a technical services librarian from a medium-sized institution discussed archival tools available to preserve collections of digital content and how to make the collections available universitywide.

Working together, the panelists had created a plan to integrate these collections into the discovery layer so that metadata was indexed on a single user-friendly platform. After advertising the collections, they collected usage statistics to determine impact.

The University of the Pacific started an institutional repository, Scholarly Commons, at the end of 2016. Prior to this, theses/dissertations (T/Ds) had been submitted to ProQuest starting in 1960 and prior to that the University collected print copies in the Library starting in 1912. The print collection of T/Ds at Pacific was 3,188 in December 2016.

The goals starting in 2017 were as follows

  1. Duplicate all current ProQuest ETDs in to the IR with restricted access
  2. Set up the ProQuest submission form moving forwards to gain permission from students to upload to the IR

In a global sense, the traditional transfer of Indigenous culture runs the risk of information loss and inconsistency when Indigenous cultural groups compete alongside mainstream Western cultural systems. The goal of the SHARE initiative, a partnership between the Association of Research Libraries (ARL) and the Center for Open Science (COS), is to build a “free, open, data set about research and scholarly activities across their life cycle.” As of August 2017, 161 repositories and publishers have made metadata available to SHARE for harvesting, and the aggregated data set is available for searching. The Caufield & Shook Collection remains a significant primary source for local history and a prime candidate for digitization. Additionally, workflow choices were determined largely by the desire to maximize student labor. What happens when library policies and philosophies of the past run counter to user desires of the present?

At Western University (Ontario, Canada) we have an official collections policy to avoid collecting textbooks, as they fall outside of the carefully librarian-driven, research-heavy philosophies that drive our acquisitions process. However, in every survey to students and faculty, we find requests for textbooks on reserve and praise for the books we already have.

In response, I conducted a statistical analysis of textbooks and our collections: we already provided access to nearly 40% of required course texts (despite our policies), and these were …

The library community understands the value of controlled vocabularies in enhancing resource discovery. There is however ongoing tension between that value and the cost of maintaining and applying specialist vocabularies. This paper presents the outcomes of a 2014-15 trial of automated subject indexing at the Australian Council for Educational Research. The integration of a machine learning classification tool has resulted in streamlined workflows and increased use of machine-readable data. Insights were gained into the decisions human indexers make in using a controlled vocabulary, and into the importance of quality abstracts and metadata.

The Clowes Collection of Old Master Paintings housed at the Indianapolis Museum of Art (IMA) includes seventy-eight works by Flemish, Spanish, English, Dutch, and Italian masters, comprising some of the museum’s most important artworks. The IMA has recently embarked on an interdepartmental project to create a new digital catalog that will highlight the history of each piece. What makes this publication unique is an emphasis on the conservation history as documented in thousands of images, including X-ray, infrared, and UV photographs.
