Year At A Glance: Moving Digital Archives At A Public University, Blake Graham

In late 2016, the Archives and Special Collections unit at the University of Nebraska-Lincoln Libraries hastily began migrating archival information from a local file server to Rosetta, an Ex Libris preservation software solution. With the aid of the Computer Operations and Research Services team – the primary information technology support team for UNL Libraries – several tasks were divided between select individuals in order to carefully move 9TB of metadata and digital objects. This presentation discusses the scope and details of the archival data migration project, as well as the subsequent impact on workflows for digital objects and metadata.

Many organizations and institutions rely heavily on a web presence to disseminate information and to manage programs and policies. This tendency leaves library and archive professionals with a challenge: how best to capture and preserve web-based information and resources. The University Archives Department at Indiana State University (ISU) assists faculty, students, and the public by providing access to and preservation of primary resources and ISU history. Despite the resources and services available, archival holdings are often underused and receive few donations from students and student organizations. These students are often unaware of the function and uses of the archives. To address these concerns, Special Collections staff have created a website utilizing the Omeka platform called STATE-IT to engage students with the University Archives. This includes content converted to and originating from digital form (born-digital). Our panel focused on National Digital Stewardship Residency projects united by the common thread of ‘best versus good enough’ and the residents’ experiences navigating the political nature of best practices and compromise, covering topics such as scalability, institutional resources, competing priorities, and responding to new policy implementations.

In the summer of 2017, the Marian Library—a special library devoted to the Blessed Virgin Mary within the larger University of Dayton Libraries system—completed a move of its rare book and archival collections into a new space within the main library building. The space, previously leased to the Society of Mary provincial archives, was already outfitted with a Liebert system for temperature and humidity controls, as well as shelving and some furniture.

This is an overview of a project that was started in 2015 that was collaboratively designed by archivists and historians with the La Guardia & Wagner Archives and LaGuardia Community College’s faculty/librarians. It involves students in the production of a needed public history of the outbreak and impact of HIV/AIDS in New York City via writing and researching contributions to Wikipedia.

The IMSA Archives, housed in the Leto M. Furnas Information Resource Center, serves to collect and preserve materials relating to the history and ethos of the Illinois Mathematics and Science Academy and the activities of its students, faculty and staff. Our collection includes materials about IMSA’s establishment, led by Dr. Leon Lederman and Governor James Thompson; the Academy's development since 1986; its ideas and programs; partnership programs for educators and schools state- and nationwide; and the lives of its students, alumni, and staff.

At the NDSRDC 2017 Symposium, "Blending Collaborations and Bridging Gaps: Digital Preservation Communities of Practice," each resident gave a lightning talk on their year long project through the National Digital Stewardship Residency Fellowship. The projects included in these slides took place at the U.S. Food & Drug Administration, Georgetown University, World Bank Group, and a joint effort between the Association of Research Libraries (ARL) and George Washington (GW) University.

Streamlining Archives Reference Through Online Task Management, Jay-Marie Bravent, Daniel Weddington

Following an organizational shift that flattened the hierarchy and prioritized security, use, and collection management, research services at UK Libraries SCRC continued to face logistical roadblocks to meeting patron reference and research needs. Specifically, SCRC relied on an often chaotic system of listserv streams monitored by 10-15 team members to manage patron interaction and internal communication. This approach left no easily discernible way for the research services team to assign tasks, facilitate collaboration, monitor progress, or derive statistics. This article will discuss how SCRC successfully implemented a streamlined, task management approach to archives reference using freely available online tools.

The Arkansas Baptist History Collection of Ouachita Baptist University’s Riley-Hickingbotham Library Archives and Special Collections has been honored with the Baptist History and Heritage Society’s 2017 Davis C. Woolley Award for Outstanding Achievement in Assessing and Preserving Baptist History.

The national award honors the work of Dr. Wendy Richter, Ouachita professor and archivist, and her staff who coordinated the Special Collections project. The University of Nebraska at Omaha (UNO) Libraries offers a variety of unique and specialized collections in the Archives & Special Collections (ASC) for UNO and Omaha community members. In 2015, ASC began planning for preserving and providing access to Omaha’s LGBTQ+ history through the Queer Omaha Archives. Archival silences were defined by archivist Rodney Carter as the manifestation of the actions of the powerful in denying the marginalized access to archives with further definition by archivists and researchers expanding this definition. Looking For Answers: A Usability Study Of Online Finding Aid Navigation, Rachel Walton

In a practical and user-centered model for online archival description, what navigational features are effective, efficient, and user-valued components for an academic archives’ online finding aid? Using Princeton University’s finding aid website as a prototype, this research study collected quantitative as well as qualitative data from 10 relatively inexperienced online finding aid users as they interacted with and reacted to the finding aid interface. Major navigational difficulties experienced by users included ambiguous and/or unintuitive labeling, unclear relationships between tabs, and insufficient visual cues for certain navigational features. The collection includes official minutes, correspondence, newsletters, membership lists, photographs, and other official documents generated by the Society and dating from the Society's founding in 1935 to the present. The article discusses the reason behind the reluctance of some researchers to deposit their work in institutional repositories (IR). These include ignorance on the existence of IR and the right of researchers to self-archive, lack of permanent institutional affiliation, and the tendency of IR to offer poor user experience. Also mentioned is the need aggregate each IR and the advantage of IR over centralized silos.

VCU James Branch Cabell Library underwent a major renovation and expansion from 2014 to 2016, necessitating a move of all special collections and archives materials. After the move we surveyed our collections to help us regain intellectual and physical control. In addition, the survey allowed us to assess whether collections were in need of additional processing or reprocessing to make them more accessible physically and intellectually, identify special formats, and address conservation issues.

While the convergence of libraries, archives, and museums (LAMs) has received considerable attention, a literature review indicates that integration has primarily occurred around digitization projects, exhibits, and budgets, while professional identity serves as a barrier to integration of scholarly work. The present study examines to what extent scholarly theory between archives and libraries has converged by surveying citations from 2008-2016 for top-rated library journals in archival journals (and vice-versa), examining Library of Congress Subject Headings of cataloged books and dissertations in OCLC WorldCat from 2008-2016, and examining papers generated by special projects related to convergence in LAMs. Findings indicate that …
