Technological advances in the library industry have opened doors for new approaches and techniques for efficiently managing, manipulating, and remediating metadata. However, the thought of automation can often bring visions of garbage in the catalog or, worse, job consolidation or loss. Approximately 15% of Binghamton University Libraries' 28,000 musical scores are collections of scores comprising a composer's complete works. Ideally, these large, multipart, non-circulating collections are cataloged consistently with either comprehensive records for each set, or individual records for each score within the set. Our catalog is inconsistent in this approach and requires remediation. The resulting workflow maximizes flexibility in who participates, where, and when, by siloing the portion of the work requiring data processing and advanced music cataloging skills. For 18 years, CONTENTdm was home to Central Florida Memory (CFM). CFM is a cooperative project started by three partner institutions in 2002 to provide an online platform and focal point for gathering, preserving, and disseminating the documents, artifacts, and stories of the history of Central Florida. As the project grew to include content from nine partners, UCF remained the primary technology support and host institution for Central Florida Memory. As every profile administrator knows, CVs are amorphous documents. Updates can occur anywhere at any time as researchers’ statuses, institutional roles, and research agendas evolve. Sections and entries can appear and disappear fluidly over the life of a CV, and even details within a single entry can change over time. For the profile administrator, catching these updates efficiently and effectively can be a real challenge. The Scholarly Communication Initiatives and Digital Collections departments within the University of Nevada, Las Vegas adapted staff workflows to become student-centered, where workers create digital content for the University Libraries’ digital repositories. Each department has a diverse set of needs; Scholarly Communication Initiatives hires students to help with the creation of metadata records, review open access options for sharing each work, and upload items into the institutional repository. The purpose of the article is to demonstrate how Binghamton University Libraries has changed the workflows and channels of communication between Special Collections and the Technical Services Department. Over the last two years these departments have worked to foster cooperative decision making in order to increase understanding of project priorities and allow for more efficient cataloging, leading to greater accessibility of Special Collections items. The article also looks at how this relationship can be expanded upon in the future, so that cataloging/metadata librarians and Special Collections staff and librarians can work together to create better access to materials.

Archivists and archival collections can often be siloed into the “special” corner of their parent library: under described, underutilized, and often even unknown. Finding a path out of isolation may require taking a new look at collection management needs and considering new partners in the work. Collaboration with colleagues can result in positive ripple effects that extend beyond the initial project goals. The University of Nevada, Las Vegas (UNLV) Libraries is in its third year of implementing the open-source archival collection management application ArchivesSpace, and is sharing UNLV-developed code that extends ArchivesSpace’s built-in functions. The case study demonstrates how adopting and building upon community-created code and developing original local code is improving critical workflows that support creating collection descriptions, cleaning up metadata, and disseminating finding aids that are easier for researchers to comprehend. Following an organizational shift that flattened the hierarchy and prioritized security, use, and collection management, research services at UK Libraries SCRC continued to face logistical roadblocks to meeting patron reference and research needs. Specifically, SCRC relied on an often chaotic system of listserv streams monitored by 10-15 team members to manage patron interaction and internal communication. This approach left no easily discernible way for the research services team to assign tasks, facilitate collaboration, monitor progress, or derive statistics. This article will discuss how SCRC successfully implemented a streamlined, task management approach to archives reference using freely available online tools.

When creating digital collections, different methods and workflows may be considered depending on the size, amount of metadata, and who will be staffing parts of the digitization process. Feeling overwhelmed with 500+ photographs with minimal metadata, I employed an analog tactic: playing a card matching game with printed photographs. Through matching, metadata was enhanced and locations identified more efficiently than staring at a computer screen. This lightning talk will present alternative ways to employ visual literacy tactics to provide a creative, fun way to involve students and staff in creating and enhancing large digital collections.

As many institutions have begun participating in open access and creating institutional repositories it has become evident that some type of catalyst is necessary to initiate participation from the faculty. The mantra of “build it they will come” that some scholarly communication librarians and repository managers held has not carried over to faculty-initiated deposits to institutional repositories. Ideally, bulking up an institutional repository with a full listing of faculty publications is a worthy goal, but how can that be accomplished within a reasonable time period? Cleveland State University implemented Digital Commons in March 2012 with the KickStart program. Since then, faculty publications have been added at a steady, but slow pace. Through a collaborative effort, our Digital Initiatives Librarian worked with others to refine batch processing to increase the flow of record creation and document loading into EngagedScholarship@CSU.
