The Nexus Between Digitization, Preservation And Access In The Context Of Selection Of Materials For Archives, Tolulope Balogun
Library Philosophy and Practice (e-journal)
The purpose of the paper is to examine the nexus between digitization, preservation and access in the context of selection of archival materials for digitization in Nigeria. In this paper, the author reviewed literature on the importance of archival materials, connection between digitization, preservation and access and the selection of materials for digitization at the National Archives of Nigeria. The study was carried out to understand the phenomenon in a local context and this anchored upon a previous study and preliminary observation by the researcher which revealed that the materials at the National Archives of Nigeria are fast deteriorating and …

Change is the only constant in digital collections work. Evolving technologies, resources, and needs require a constant flexibility in not only what work is done, but how and by whom. Over the course of the 2017-2018 academic year, Grand Valley State University Libraries held a series of facilitated conversations to analyze the workflows, organizational structure, and overall support for the management of digital collections and repositories. This article summarizes the facilitation process and highlights areas of opportunity, aspirations, and future directions.

Archival and Primary Source Research (UDI 204) is a one-credit course at the University of Dayton designed to introduce students to the themes of historical empathy, visual literacy, privacy, and silences in the archives. This case study explores the pilot iteration of this mini-course, taught collaboratively with a team of six librarians and archivists. With the intention of furthering the goals of the University Libraries’ strategic plan, the course was developed to move beyond what can be accomplished during a one-shot instructional session in regard to primary source literacy. In addition to discussing the inherent challenges of developing and teaching …

As religious congregations consider consolidation or rehoming of archives, library and archival initiatives from recent decades serve as models to chart a way forward. In the early 2000s many libraries and archives formed statewide, collaborative digitization programs to leverage the power of partnerships to provide access to high-cost digital collections software and digitization services to partner institutions with fewer resources. More recently, the American Society for Theatre Research launched its American Theatre Archive Project to provide archival consulting and financial support to assist local theatre companies across the United States with preserving and making accessible records of theatrical process and …

Remix The Medieval Manuscript: Experiments With Digital Infrastructure, Laura Braunstein, Michelle R. Warren, Baylauris Byrnesim
Dartmouth Library Staff Publications
Remix the Manuscript: A Chronicle of Digital Experiments is a collaborative research project that takes up this challenge. It brings together academics, librarians, technologists, conservators, and students to study the many permutations of a single manuscript—a fifteenth-century Middle English prose chronicle of Great Britain, commonly referred to as the “Prose Brut.” Our project raises fundamental questions about the digital research environment. How is today’s code configuring tomorrow’s historical knowledge? How do digital technologies affect our access to and understanding of material culture? By investigating these broad questions through the example of one manuscript, we define a limited yet infinitely …

This presentation is largely about strategies for dealing with archival legacy description. Not just in terms of data migration or updating standards, but what to do when you inherit a large scale collection that was organized using a methodology that no longer works in a 21st century context. How do you move forward, and how do you document your interventions and decisions? This is what happened to me at SUNY Maritime with the college’s institutional records.

Archival Records And Manuscript Collections In Selected Polytechnic Libraries In North-Central, Nigeria, Mulikat B. Aliyu, Tunde I. Yusuf, Rukayat S. Owolabi
Library Philosophy and Practice (e-journal)
The value of records in the area of reference, historical and administrative use in any Nigerian polytechnic library cannot be overlooked. It is true that available archival records and manuscripts abound in most Nigerian polytechnic libraries, their scattered nature makes them difficult to be traced when the need for it arises. The study focuses on the desirability for polytechnic libraries to establish archival sub – systems within their systems so that valuable administrative, research, reference, historical records and manuscripts of vital values are preserved and disseminated. This approach would bring their maximum utilization by researchers into use. Social survey research …

Making The Most Of Student Workers: Creative Approaches To Staffing, Kathleen Spring
Making The Most Of Student Workers: Creative Approaches To Staffing, Kathleen Spring
Faculty & Staff Presentations
When considering and launching an institutional repository, staffing is often the first question on people’s minds. Many libraries are eager to embark on this project but are anxious they’ll need to hire someone to take the wheel. The good news is many institutions have come up with creative staffing solutions that ensure repository growth and development with far less than 1 FTE. In this presentation, Kathleen Spring shares how she manages Linfield College's institutional repository with the vital contributions of student workers. She discusses some of the carefully designed workflows that meet Linfield’s repository needs and talks about how other …

More Product, Less Process: Adequate Metadata?, Nadia Nasr
Staff publications, research, and presentations
Employing More Product, Less Process (MPLP) approaches we are making archival collections more readily available to our researchers. As we digitize our collections we extend the accessibility of these collections through 24/7 virtual access, enhancing collection, series, and folder level descriptions from finding aids with the item level metadata that accompanies the digital surrogates. But are we creating our metadata as efficiently as possible, and with enough of the original context that exists in our finding aids? Or is there some room for improvement? In my presentation, I plan to explore how our finding aid data is or could be …
The Changing Landscape Of Digitization And Preservation, Sharon Bradley
The Changing Landscape Of Digitization And Preservation, Sharon Bradley
Presentations
Digitization and the preservation of digitized materials presents many complex legal questions, like ownership, copyright, and conflicting laws. Digital materials may be subject to many levels of legal restrictions like copying, storage, access, and modification of content. The speaker will probably confuse things even more by talking about some issues that are coming over the hill including legally enforceable duties of stewardship, loss of academic scholarship and legal authority, and arguments against strict enforcement of copyright law. It’s also time to move from collaborations, because they’re good idea, to legally established partnerships, because they have teeth.

In the 1960s, a Louisville photography studio began donating its negatives, prints, and invoices to the University of Louisville Photographic Archives. The Caufield & Shook Collection remains a significant primary source for local history and a prime candidate for digitization. Unfortunately, on its receipt non-archivists processed the collection with little documentation of original order or organizational decision making. Additionally, workflow choices were determined largely by the desire to maximize student labor. In 2017, the Digital Initiatives Librarian worked with in-house application developers and archives staff to create a workflow that has significantly sped up the process of making this valuable …

A Change Would Do You Good: Transforming Archives With Cross-Sector Perspectives, Kayla Harris
Marian Library Faculty Presentations
The various “sectors” of archives and related professions, whether functional or institutional, increasingly diverge from each other in priorities, strategies, and constituencies. For the archivist or records manager changing positions across sectors, however, an opportunity exists to bring skills and insights learned in previous field(s) to transform the work being done in these new places. Cross-sector experiences also give archivists and records managers an opportunity to reflect on how their transitions have transformed their outlook on the profession as a whole, and their role within it. In this lightning round session, eight archivists will share how prior experience in a …

Why Wikipedia Often Overlooks Stories Of Women In History, Lara Nicosia, Tamar Carroll
Articles
Wikipedia's reliance on a volunteer editing base has resulted in a gender bias both in the quantity and quality of content around women. With less than 20% of Wikipedia's editors identifying as women, only 30% of biographical entries have been written about women and entries on women tend to be shorter and more focused on relationships and family roles than entries on men. This article explores the causes of Wikipedia's gender bias and offers ways that both individuals and institutions can help improve Wikipedia's content around women.

VCU Libraries Faculty and Staff Presentations
Just as fashion trends change over time, so do our standards for finding aids. Recently, we revisited a number of our guides that have existed unchanged online for years and found that many have not aged well. Some finding aids were written by untrained staff or were created prior to the introduction of DACS. Others suffered from neglect in that they weren’t updated to reflect accruals to a collection or were not checked for grammar and spelling errors. It was time to take our finding aids from drab to fab, but how?

This chapter examines the historical antecedents of recordkeeping and archives in Puerto Rico, during both Spanish and U.S. colonial rules. It also explores the history and current issues of the Archivo General de Puerto Rico (General Archive of Puerto Rico). This historical analysis is made within the context of colonialism, examining the effects of Puerto Rico’s colonial status (during the Spanish colonial period and the current period under United States colonial management) on the mission and work of the AGPR. We argue that while the Archivo General was created to address the chaotic management of government records, its founding reflected …
