What is the importance of institutional history and special collections in a digital environment? Should these pieces of history have their own digital platform or be merged with the institutional repository? What role do repositories play in the institutional environment? In 2014, the Marian Library at the University of Dayton completed a long overdue revision of its collection development policy. The new document more clearly defined the scope of the library’s collections, and was intended to guide new acquisition decisions. However, this new document had the unexpected benefit of providing a framework for deselection projects that enabled preservation and improved access to the collections.
This paper will discuss and analyze two of these projects, and demonstrate how the revised collection development policy laid the foundation for successful deselection outcomes. In the first case study, legacy collections of genre-based ephemera were …

At the University of Louisville a merger of archives and special collections had been discussed for decades, but for a variety of reasons, always dismissed. There were practical reasons in favor of it, but there were some significant internal barriers that made it easier to keep things as they were. But in 2012 things changed. Heightened appreciation for the traditional and emerging roles of special collections in university libraries, institutional budget concerns, key retirements and gradual replacement of people resistant to change, and an inclusive approach to planning, all aligned to make the merger seem like a natural progression for …

Recently, Pepperdine University Libraries initiated the digitization and curatorial arrangement of a large collection of negatives and prints donated by the widow of Hanson A. Williams, Jr., one of our alumni. Williams had been a photographer by trade and, after his death, his wife donated 13.86 linear feet of photographic images depicting his life at college and immediately afterwards in the Korean War. After processing the collection, we realized that we had a copious number of Williams’ original negatives in addition to multiple iterations (in some cases) of prints that he had made from these negatives. Special collections librarians at small or medium sized institutions may lack the resources required to build new collecting areas or further enrich the collecting areas mandated by their mission. As one measure to overcome this challenge at Pepperdine University, we are experimenting with an approach that we call “digital surrogate” donations. In these cases, we work with donors to create digital surrogates—typically scans of images or texts—of select physical materials with which donors are not quite ready to part. Per a modified donor agreement, the digital surrogate collections are then made available to researchers through our digital archive and open …

Digital finding aids increase use and visibility of special collections materials, but many programs or services require knowledge of coding languages to create and maintain them. Using CONTENTdm and a word processing program, finding aids using EAD principles and formatting can be easily created without the needing knowledge of coding or programming languages.

Due to the completion of a brand-new library building at the United States International University (USIU) in Nairobi, Kenya, opportunities for collection development at the library have appeared. This paper outlines three strategies for taking advantage of the special collections holdings and developing them over time. The authors provide research on creating an Africana collection, a United Nations (U.N.) Depository, and a UNESCO Memory of the World Program digital archive. These efforts are aimed at increasing indigenous knowledge and raising the profile of the university internationally. The global implications of this project dovetail with the university’s stated mission of expanding …
