While Springshare’s LibAnswers product is marketed as an end-to-end online reference product, the Metadata & Discovery (M&D) team at EKU Libraries recognized the potential LibAnswers had to solve workflow problems within the team and provide faster service for our users. The M&D team envisioned using LibAnswers as a ticketing system for troubleshooting problems, managing workflow, assessment of eResources, and storing documentation. Since adopting the LibAnswers product over a year ago, the team has seen reduced confusion around the tracking of workflow tasks in the eResource lifecycle and a significant improvement in turnaround time on troubleshooting problems. The Continuing Resources Team at Eastern Kentucky University Libraries has used a structured, collaborative process mapping approach to identify workflow problems and make improvements. We also identified better tools for sharing information that is needed by multiple staff members. The acquisitions and continuing resources teams at EKU Libraries used the occasion of several library staff retirements as an opportunity to reevaluate departmental processes. In doing so, we solved two major problems: • We completely overhauled our Voyager ILS ledger structure to allow for more granular reporting, specifically in relation to electronic resources and online periodicals. • We developed a better understanding of the relationship between the acquisitions, serials check-in, and cataloging functions in Voyager, allowing us to develop more seamless workflows between the acquisitions and continuing resources teams and to do a large order record clean-up project.

As the number of eResources we acquire continues to grow, Eastern Kentucky University Libraries have attempted to develop more effective ways to manage our online collections. Traditional methods for dealing with print resources do not apply to the entire eResources lifecycle, and we have been challenged to think creatively about possible solutions. Our strategies have included adjusting the staffing model of the eResources team, analyzing our workflow using process mapping to identify areas of improvement, and finding appropriate ways to incorporate support staff into the eResources workflow.

Current integrated library systems traditionally combine both user discovery and inventory management applications, merging very different functional needs into a single environment. As libraries look to the future, our service platforms must evolve in a way that enables both more efficient management and more effective presentation of a wide array of library resources. For many libraries, the first step in the process has been to decouple the user discovery and delivery environment, separating the needs for patron presentation from the requirements for back-office management. Academic library catalogs as they currently exist are essentially static databases – they are searchable versions of card catalogs. Even the display in many systems resembles the old-fashioned card. By contrast, eJournals (and websites and eBooks, for that matter) contain dynamic information. URLs change, platforms change, vendors change, the same title is hosted on multiple changing platforms. Is it possible with today’s library catalog to effectively present metadata for online formats when each change must be input manually?
